How to: Add a Product to a Proposal

Introduction

Products can be added to different levels of the proposal in different ways, each method involves navigating to the appropriate tab, clicking [Add Product], and selecting the desired product. Depending on the method, the product's Bill of Materials, purchasing details, and labor information are added to the proposal.


For documentation purposes we will use the following terms when referring to the proposal structure:

  • The root level of the proposal structure will be referred to as the "Root"
  • The 1st level of the proposal structure will be referred to as a "Module"
  • The 2nd level of the proposal structure will be referred to as a "Station"
  • Anything below that level will be referred to as a "Sub-Station"

There are currently 4 ways to add a product to a proposal. 

  1. Proposal Structure Root
  2. Proposal Structure Module Level
  3. Proposal Structure Station Material Level
  4. Sales Order Items

1. Adding To Proposal Structure Root

You can add product(s) to the root level of the proposal structure by opening the [Module] tab of the proposal and clicking the [Add Product] button. You can then search and select the product(s) and then click [Add].

Only products with a "Bill Of Material" structure set up in the product's detail page will be available to add at this level.

This allows you to add the purchasing details of the product's material, the labour associated with the product, as well as the structure (the product's bill of materials structure) to the root of the proposal. 

Integro 360 will replicate the structure of the product here in the proposal using modules and stations.

Details:

If the product has a single level of children, then a station will be created to hold this product's details.

Material: The product's children will be added as parts in that station.

Labour: The product's labour will be added to that station's proposal processes.

If the product has more than a single level of children, then a module will be created to hold this product's details.

Material: Inside this module, a station will be created for every 1st level child product that has further levels of children. Inside those stations, the bottom level products will be added as parts. The parts will display detail for the product's parent assemblies in the "Sub-Station" column. A "Direct Parts" station will also be created for any 1st level child products that don't have any children. The products at level 1 with no children will be added as parts to the "Direct Parts" station.

Labour: The product's labour will be added to the module's proposal processes.


2. Adding To Proposal Structure Module Level

You can add product(s) to a module in the proposal structure by opening the [Module] tab of the proposal, navigating to the desired module and then clicking the [Add Product] button. You can then search and select the product(s) and then click [Add].

Only products with a "Bill Of Material" structure set up in the product's detail page will be available to add at this level. 

This allows you to add the purchasing details of the product's material, the labour associated with the product, as well as the structure (the product's bill of materials structure) to this module. 

{{variable.ProductName}} will replicate the structure of the product here in the module using stations.

Details:

If the product has a single level of children, then a station will be created to hold this product's details.

Material: The product's children will be added as parts in that station.

Labour: The product's labour will be added to that station's proposal processes. 

If the product has more than a single level of children, then a station will be created to hold this product's details.

Material: Inside this station, all of the bottom level products will be added as parts. The parts will display detail for the product's parent assemblies in the "Sub-Station" column.

Labour: The product's labour will be added to the station's proposal processes.


3. Adding To Proposal Structure Station Material Level

You can add product(s) to a station's material by opening the [Module] tab of the proposal, navigating to the desired station and then clicking the [Add Product] button. You can then search and select the product(s) and then click [Add].

All products will be available to add at this level, regardless if they have a "Bill Of Material" structure set up or not.

This allows you to add only the purchasing details of the product's material and the labour associated with the product to this station without any information about the product's structure. 

Details:

No matter the complexity of the product's structure, adding the product at this level will only use the product(s) you selected and not any of the product's children information.

Material: A single part will be added to the station for every selected product.

Labour: The product's labour will be added to the station's proposal processes.


4. Adding To Sales Order Items

If you have added products to the proposal then you should create sales order items using the "Module/Station" column in the sales order items grid. This will allow you to select a module/station to create a sales order item from.

Otherwise, if there are no module/stations associated with the product yet, you can add the product directly to the sales order items using this feature. This will also populate the proposal's module/station structure, parts and labour with this products information following the same rules as 1.Adding To Proposal Structure Root.

Open the [Sales Order Items] tab in the proposal and then click on the [Add Product] button. You can then search and select the product(s) and then click [Add].

All products will be available to add at this level, regardless if they have a "Bill Of Material" structure set up or not.

Details:

A sales order item will be created with the product's number and description, as well as sales price information.

The selected product(s) will be added to the proposal module/stations structure, following the exact same rules as 1.Adding To Proposal Structure Root. This includes adding the parts and labour.
