The Details tab is the primary form for entering and managing all core proposal information. It is the first tab you complete when creating a new proposal and contains project metadata, dates, personnel assignments, and PERT approvals.

Page Layout

The Details tab is organised into three columns plus full-width sections at the bottom:

  • Left Column — Financial gauges, general settings, status, customer information, and currency details
  • Middle Column — Key dates, design information, machine rate, and customer-supplied parts
  • Right Column — Proposal image, current position, comments, merge information, and audit dates
  • Full Width (bottom) — Key personnel, PERT contact assignments and approvals, planned phases

Left Column

Profit Gauges

At the top of the left column (for existing proposals with financial and profit permissions), two circular gauges display:

  • With Contingency — The profit percentage when contingency costs are included.
  • Without Contingency — The profit percentage based on base costs only.

These gauges use colour-coded ranges to indicate whether the profit margin is healthy, marginal, or below target.

Rating

A star rating control (1–5 stars) allows you to rate the proposal. Click a star to set the rating. Click the same star again to clear the rating.

General Section

The General section contains the following checkboxes and dropdown fields:

Checkboxes

FieldDescription
Pert ActiveWhen ticked, the proposal is in PERT (pre-proposal) mode. Discipline contacts can provide their time estimates. Untick once estimates are finalised.
CancelledMarks the proposal as cancelled. The proposal remains in the system but is flagged as no longer active.
Is R&D ProjectIndicates the project involves research and development activities.
Requires Bill of MaterialIndicates that a Bill of Materials (BOM) should be generated for this proposal.
Include in Capacity PlanWhen ticked, the proposal’s labour hours are included in the organisation’s capacity planning calculations.
Is InternalIndicates the project is for internal use rather than an external customer.

Dropdown and Text Fields

Proposal StatusYesThe current status of the proposal (e.g., Draft, Submitted, Won, Lost). Select from the searchable dropdown list.
Proposal PriorityYesThe priority level of the proposal. Select from the searchable dropdown list.
Project GroupNoAn optional grouping for categorising the proposal. The dropdown shows group names and descriptions.
Proposal NumberNoAutomatically generated when the proposal is first saved. Cannot be edited.
CRM NumberNoAn optional external reference number from your CRM system.
Project RefNoAutomatically populated when the proposal is converted to a project. Includes a link to open the project.
Project TypeYesThe type of project (e.g., New Machine, Refurbishment). Select from the searchable dropdown showing names and descriptions.
TitleYesA descriptive title for the proposal. This appears throughout the application and in reports.

Customer Information

FieldRequiredDescription
CustomerYesSelect the customer from the searchable dropdown. The dropdown displays the customer name and city. When a customer is selected, the system automatically populates the Customer Status, VAT Rate, and Currency fields.
Customer ContactYesSelect the contact person at the customer organisation. The dropdown shows the contact name and email address. If the contact is not listed, click the + button to add a new contact (requires edit permission).
Customer StatusRead-only field. Automatically populated based on the selected customer.
Customer VAT RateRead-only field. Automatically populated based on the selected customer’s VAT code.
Currency CodeYesThe pricing currency. The dropdown shows currency names and exchange rates. Automatically set when a customer is selected, but can be changed.
Currency RateYesThe exchange rate for the selected currency. Must be greater than 0.
URS / Part Spec.NoA reference to the User Requirements Specification or Part Specification document.
Part Spec Received DateNoThe date the part specification was received. Shows the ISO week number beside the date.
Purchase Order NumberNoThe customer’s purchase order number when the work is confirmed.

Adding a New Customer Contact

If the contact person for the selected customer is not in the system, you can add them directly from the Details tab:

  1. Ensure a customer is selected in the Customer field.
  2. Click the + button next to the Customer Contact dropdown.
  3. In the dialog that appears, enter:
    • First Name
    • Last Name
    • Job Title
    • Email Address
    • Business Telephone Number
  4. Click Save to create the contact. They will automatically be selected in the Customer Contact field.

Middle Column

Status & Audit

This Proposal is still Open/ActiveNoCheckbox indicating whether the proposal is still actively being worked on. Untick when work is complete.
Created ByRead-only. Shows who created the proposal.
Created DateRead-only. Shows when the proposal was created.

Key Dates

All date fields display the ISO week number beside the selected date, making it easy to reference calendar weeks. Each date field with edit permission includes a Today button (calendar icon) to quickly set the current date.

Proposal Due DateYesThe deadline for submitting the costing to the customer.
Pert Due DateNoThe deadline for all discipline contacts to submit their PERT estimates.
Proposal Sent DateNoThe date the costing was sent to the customer.
Agreed P.O. DateNoThe date the customer confirmed the order (decision date). This date can be used for estimated cash flow projections or tentative production planning.
Customer Delivery DateNoThe agreed delivery date with the customer.
Forecasted P.O. DateNoThe earliest expected date for receiving a purchase order. Only fill this in if the customer has not committed to sending a purchase order by a certain date.
Delivery Lead TimeNoThe expected lead time for delivery (free text, e.g., "12 weeks").

Pre-Project Design

FieldRequiredDescription
Concept TypeYesThe type of design concept for this proposal. Select from the searchable dropdown.
Est Design Hours Pre ProposalYesThe estimated number of design hours spent before the proposal was created. This represents the maximum hours available for the commercial applications team to work on the proposal at the pre-project design stage. Must be 0 or greater.

Machine Rate

A free-text area for recording machine rate information relevant to the project. This is for reference purposes and does not affect cost calculations.

Customer Supplied Parts

A free-text area for noting any parts or materials that the customer will supply for the project. These items are excluded from the material costing.


Right Column

Proposal Image

You can attach a representative image to the proposal (e.g., a photograph or CAD drawing of the machine):

  1. Enter an Image Caption (required if uploading an image).
  2. Click the + button to select an image file from your computer.
  3. The image thumbnail will be displayed.
  4. To remove the image, click the x button.

Note: Saving the proposal is required after uploading or removing an image.

Current Position

A free-text area for describing the current status or position of the proposal. Use this to communicate the latest developments to colleagues.

Internal Comments

A free-text area for internal notes. These comments are not visible to customers and are intended for internal team communication.

Merge Information

If this proposal has been merged into another proposal as a sales order, these read-only fields show:

  • Merged in Proposal No. — The proposal number it was merged into.
  • Date Merged — The date the merge occurred.

Audit Information

  • Modified By — The last person who edited the proposal.
  • Modified Date — The date and time of the last modification.

Key Personnel Section

This full-width section at the bottom of the form contains dropdowns for assigning key personnel to the proposal:

Approved ByThe person who approved the costing before submission to the customer.
Project LeaderThe person who will lead the project if the proposal is converted.

PERT Contacts and Approvals

When PERT mode is active, each discipline requires a contact person to provide time estimates. The following disciplines are tracked:

  1. Project Management
  2. Mechanical Engineering
  3. Mechanical Build
  4. Electrical Engineering
  5. Electrical Build
  6. Software
  7. Validation

For each discipline, the following fields are displayed:

PERT Completed ByRead-only. Shows who marked their PERT estimate as complete.
PERT CompletedRead-only. Shows the completion date/time. Can be toggled by clicking the icon.
PERT Approved ByRead-only. Shows who approved the PERT estimate for this discipline.
PERT ApprovedRead-only. Shows the approval date/time. Can be toggled by clicking the icon.

Planned Phases

Below the personnel section, a data grid allows you to define project phases with milestones. See the grid columns below:

Each phase row can be expanded to show its Milestones. Milestones within a phase have the following columns:

Both the phases and milestones grids use batch editing — add or modify multiple rows then click Save in the toolbar to persist your changes.
